One collection for the whole campaign: sessions, NPCs, locations, and handouts, linked to each other so that what happened at the Ashfall Market is one click from the broker you met there.
Structure the Binder
Three folders hold the campaign: Sessions, NPCs, and Locations. A session is an entity like any other, so it can link to the places it happened in and the people it introduced. Carry the same tags into your next campaign with a shared taxonomy.
- One entity per session, in a Sessions folder
- NPCs and locations in folders of their own
- Handouts as entities too, like the Clockwork Ledger
Notes & Continuity
Session five's note names Ilyra the Broker with an @ mention, and that mention is the link the map draws. Reveals, decisions, and open hooks live in the notes and stay attached to whoever they concern, with notes and mentions.
- Tag notes by arc or chapter
- Link NPCs to the factions and places they belong to
- Mark unresolved hooks to revisit
Find Anything Fast
A consistent naming scheme and a short tag vocabulary make the binder searchable at the table, when nobody wants to wait.
- Prefix sessions ("S05") so they sort in order
- Combine tags: "plot-hook", "clue", "rumor"
- Save the searches you run before every session
Steps
- Create a collection for the campaign and add folders for Sessions, NPCs, and Locations.
- Add an entity per NPC, location, and handout, tagged by theme and arc.
- After each session, add the session as an entity and link it to where it happened and who it introduced.
- Write the session note with @ mentions, so the map catches up as you type.
Tips
- Use tags for arcs ("arc:rebellion") and important beats ("reveal", "twist").
- Keep a "current session" note pinned or easy to reach.
- Every few sessions, review the unresolved hooks so momentum does not leak.
